Get all of your FAQs answered!

Many people often want clarity on how the rental crate process works from start to finish—how long they can keep the crates, what happens if they need more time, and whether delivery and pickup are included. We know your concern about the durability and size of the crates, especially when comparing them to traditional throw away cardboard boxes. Many customers look for reassurance about cleanliness, asking how often the crates are sanitized and what standards we follow to keep everything ready for the next move. Others are curious about what can safely be packed inside, whether the crates can handle heavy items, and how much weight they’re designed to hold.

Another area of concern is our logistics: where we deliver, how far our service area extends and whether there are additional fees for certain locations. People frequently ask about scheduling—how early they should book, how flexible delivery windows are, and what happens if plans change. Some want to know about add-ons, like dollies or labels, and whether those are included or available separately. Pricing questions also come up often, especially on what’s covered in the base rental rate. And of course, customers appreciate guidance on how many crates they’ll need for a home or office of a particular size.

This page sets the stage for all of those topics, giving you a sense of the practical concerns our FAQ will address without diving into the details just yet. As you scroll, you’ll find answers to the most common questions people ask when renting moving crates. The goal is to make your move easier, clearer, and more organized—and our FAQ section will walk you through everything you need to know.

Before You Book: What Do I Need to Know?

Planning your move? Learn everything you need to know before placing your order, including rental periods, crate quantities, what’s included, and whether Exxchange Rental Solutions is the right fit for your move.

We recommend booking your crates as early as possible, especially if you are moving during a busy time of year or have specific delivery dates in mind. While we will always do our best to accommodate your preferred dates, all rentals are subject to equipment and delivery availability.

Please note that submitting an order does not guarantee that the equipment is available. Your rental is confirmed once Exxchange Rental Solutions has reviewed your order and sent you a confirmation email.

The number of crates you need will depend on the size of your home or office, how much you’re moving, and how efficiently you’re packing.

If you’re unsure how many crates you’ll need, we recommend starting with an estimate based on the amount of belongings you’re moving. You can also contact us for guidance before placing your order.

Keep in mind that our minimum rental is 20 crates.

Our standard and minimum rental period is 14 days.

If you return the equipment before the 14-day rental period ends, you will still be charged for the full 14-day minimum rental period.

Longer rental periods may be available depending on equipment availability.

The minimum rental is 20 crates.

You may also add optional equipment, such as dollies, to your order, depending on what is available.

Your rental includes the equipment you select as part of your order, along with delivery and pickup based on the applicable service area and package.

Delivery and pickup are free when your addresses are within our applicable free delivery and pickup zones. Additional delivery or pickup charges may apply outside those zones.

ERS does not provide packing or moving services. Packing, loading, unloading, and moving your belongings are the renter’s responsibility.

I’m Booked — Now What?

Your rental is booked—now what? Find out what happens after you place your order, how your rental is confirmed, how to schedule delivery, and how to make changes if your plans shift.

Once you submit your order, we will review it to make sure the requested equipment is available for your rental period.

Once availability has been confirmed, you’ll receive an email from Exxchange Rental Solutions confirming your rental and providing instructions for the next steps.

If you selected ACH, your order will remain on hold while we wait for payment. We reserve the order for 24 hours while waiting for payment to be received.

If you paid by credit card, a pre-authorization is initiated for the amount of your order, but your card is not processed until we have checked availability and confirmed your rental.

Once your rental is confirmed, you’ll be able to schedule your delivery.

Before your delivery, make sure the delivery location is accessible and that someone is available to receive the equipment during your scheduled delivery window.

We recommend clearing a suitable area where the crates can be placed and making sure there is a safe, accessible path to that location.

You’ll receive an automated reminder approximately 24 hours before your scheduled delivery window.

Submitting an order on our website does not guarantee that the requested equipment is available.

Once your order is submitted, ERS will check equipment availability. Your rental is confirmed once ERS sends you a confirmation email.

We recommend waiting for your confirmation before considering your rental fully booked.

Contact us as soon as possible by call, text, or email, and we’ll do our best to accommodate your request.

Additional equipment is subject to availability and additional charges.

If your original order has not yet been delivered, you’ll generally only pay the difference for the additional equipment.

If your order has already been delivered, additional delivery charges may apply because another delivery may be required

We’ll do our best to accommodate your preferred delivery date and time, but all delivery appointments are subject to availability.

If your preferred time isn’t available, we’ll work with you to find another available option.

In some circumstances, if we are fully booked or have limited delivery availability, ERS may deliver your equipment before the start of your rental period at no additional charge, subject to availability.

Delivery & Pickup: What Should I Expect?

We make getting your crates to you and picking them back up simple. Learn what to expect on delivery and pickup day, how scheduling works, and how to prepare for a smooth handoff.

Within seven days of the start of your rental period, you’ll need to select your preferred delivery date and time through our booking system.

Your delivery will take place during the scheduled delivery window. ERS will send you an automated reminder approximately 24 hours before your delivery.

Please make sure someone is available to receive the equipment during your scheduled window and that the delivery location is accessible.

Yes.

Someone must be present and available to accept the delivery during your scheduled one-hour delivery window.

This helps us ensure that the equipment is delivered safely and to the appropriate location.

Your delivery appointment is scheduled within a one-hour delivery window.

For example, if your scheduled window is 10:00–11:00 AM, someone should be available at the delivery location for the entire window.

We’ll send an automated reminder approximately 24 hours before your scheduled delivery.

Please make sure:

  • Someone is available during the entire one-hour delivery window.
  • The delivery location is accessible.
  • There is a safe and reasonably clear path for the equipment.
  • There is an appropriate place for the crates to be delivered.

If you have special access instructions, such as a gate, concierge, elevator, loading dock, or other considerations, we recommend communicating those to us ahead of time.

Contact us as soon as possible if you need to change your delivery or pickup date or time.

We will do our best to accommodate your request, but all changes are subject to availability.

For changes to your rental dates, if the length of your rental stays the same, we can accommodate a date change at no additional charge, subject to availability.

If you’re extending the rental period, additional rental charges will apply.

For pickup, your preferred pickup date and time are not considered confirmed until approved by ERS.

During My Rental: Using & Caring for My Equipment

Get the most out of your rental while keeping yourself and your equipment safe. Learn about weight limits, stacking, proper storage, and how to care for your crates throughout your rental.

Please use the crates carefully and follow all safety instructions.

For your safety:

  • Do not stack packed crates more than four crates high.
  • Do not fill a crate beyond its 66-pound weight capacity.
  • Use caution around the steel rods near the lid area, as they can potentially catch on clothing or scrape skin.
  • Children should not use the equipment.
  • Animals should never be placed in or on the equipment.
  • You are responsible for determining the safest way to lift, carry, and stack the equipment.

Each crate has a maximum weight capacity of 66 pounds.

For safety reasons, please do not exceed this limit.

Packed crates should never be stacked more than four crates high.

Please use good judgment when stacking and make sure the crates are positioned securely and safely.

We recommend keeping the equipment indoors and in a safe, secure location whenever possible.

Do not leave the equipment somewhere it could be exposed to unnecessary damage, extreme conditions, or theft.

The renter is responsible for the equipment throughout the rental period until it is picked up by ERS.

Contact ERS as soon as possible if equipment becomes damaged during your rental.

Please do not attempt to repair, alter, modify, or otherwise change the equipment without our prior written consent.

You are responsible for equipment that is damaged, lost, stolen, missing, or otherwise compromised during your rental, subject to the terms of your rental agreement.

Yes. We may be able to extend your rental, subject to equipment availability.

Additional rental days are charged at ERS’s applicable daily rental rate.

Current replacement fees are:

  • Crate: $75 per crate
  • Dolly: $100 per dolly
